Customer Terms of Business
These terms explain how quotations, artwork approvals, orders, printing, signage, vehicle graphics and installation work when you place an order with Action Graffix.
Clear Quotations
The agreed quotation sets out the work, products and price for your individual project.
Artwork Approval
You will normally be asked to check and approve important artwork before production begins.
Bespoke Work
Many signs, graphics and printed products are manufactured specifically for the individual customer.
These terms should be read together with the quotation or order details supplied for your job.
Nothing in these terms removes any statutory rights that a consumer has under UK law.

2. Quotations
Quotations are prepared using the information available to us at the time and relate to the work described in that quotation.
A quotation may take into account factors including:
- Design and artwork preparation
- Materials
- Printing or vinyl production
- Size and quantity
- Vehicle type
- Sign manufacture
- Installation or fitting
- Any other work specifically agreed
If the specification, quantity, artwork, vehicle, installation requirements or other details change after quotation, the price may also need to change.
We will explain any material change in price before proceeding with additional work.
A quotation remains subject to availability of materials and any validity period stated on the quotation.
3. Placing an Order
An order is normally treated as accepted when the customer confirms that they wish to proceed and Action Graffix accepts the job.
Depending on the project, we may also require:
- A deposit or advance payment
- Approval of artwork
- Vehicle measurements or photographs
- Access information for an installation
- Any other information needed to complete the job
Production may not begin until the information, approval or payment reasonably required for the job has been received.
4. Deposits & Advance Payments
Action Graffix may request a deposit or advance payment before design, manufacture, printing or installation work begins.
The amount and timing of any required payment will normally be stated on the quotation or agreed with the customer.
If a customer subsequently cancels an order, Action Graffix may be entitled to retain or recover a reasonable amount representing work already carried out, materials already committed to the project and other direct losses caused by the cancellation.
Deposits are not automatically treated as non-refundable in every circumstance.
Any amount retained following cancellation will be considered in light of the work completed, materials ordered or produced and the circumstances of the cancellation, together with any rights the customer has under applicable law.
5. Artwork, Proofs & Customer Approval
Many Action Graffix projects involve bespoke artwork, layouts or graphics.
Where an artwork proof is supplied for approval, the customer should carefully check:
- Spelling
- Telephone numbers
- Email addresses
- Website addresses
- Prices
- Dates
- Names
- Logos
- Colours
- Overall layout
Production may begin once the relevant artwork has been approved.
If an error was clearly present in artwork that the customer approved, the cost of reproducing or replacing that work may be chargeable where Action Graffix has produced the job accurately from the approved proof.
This does not apply where the finished product differs materially from the artwork or specification that was actually approved.
6. Customer-Supplied Artwork, Logos & Images
Customers may supply logos, photographs, artwork, trademarks and other material for inclusion in their project.
By asking us to reproduce material supplied by you, you confirm that you have the necessary right or permission to use that material for the requested purpose.
Action Graffix may refuse to reproduce material where there is a reasonable concern that doing so would be unlawful or would infringe another person's rights.
The quality of the finished reproduction may also depend on the quality and resolution of artwork supplied to us.
Where supplied artwork is unsuitable for production, we will discuss available options with you.
7. Colours & Visual Appearance
Colours viewed on phones, monitors and other screens can appear different from colours produced in print, vinyl, paint, fabric or physical signage.
There may also be reasonable variations between:
- Different print processes
- Different vinyl products
- Different batches of material
- Screen displays and physical products
- Previously produced and newly produced work
Where exact colour matching is particularly important, please tell us before production begins so that the available options can be discussed.
8. Bespoke & Personalised Products
A large proportion of the work supplied by Action Graffix is produced specifically for an individual customer.
This can include:
- Vehicle graphics containing a customer's branding
- Shop signs manufactured to specific dimensions
- Printed banners containing individual artwork
- Business cards and promotional printing
- Personalised lettering
- Custom logos and graphics
Consumer cancellation rights that normally apply to some distance or off-premises contracts may not apply to goods that are genuinely made to the customer's specifications or clearly personalised.
Nothing in this clause removes a cancellation right where the law says that right applies.
Whether an individual product is considered genuinely bespoke or personalised will depend on the particular order.
9. Changes & Cancellation
If you need to change or cancel an order, please contact Action Graffix as soon as possible.
Before production begins, changes may often be possible with little or no additional cost depending on the work involved.
Once artwork, printing, cutting, manufacture or other bespoke production has begun, changes may result in additional costs.
If a customer cancels a job and Action Graffix is not at fault, we may seek payment for reasonable direct losses resulting from the cancellation, including work already carried out and materials that cannot reasonably be reused or resold.
We will take reasonable steps to reduce avoidable losses.
Any statutory cancellation rights that apply to a consumer remain unaffected.
10. Vehicle Graphics & Vehicle Condition
Customers having vehicle graphics fitted should make sure that the vehicle is reasonably clean and available at the agreed time.
Vinyl graphics rely on the condition of the surface to which they are applied.
Existing issues such as:
- Damaged paint
- Rust or corrosion
- Loose lacquer
- Poor previous repairs
- Filler
- Peeling paint
- Contamination
- Existing adhesive or vinyl residue
may affect the appearance, adhesion or later removal of vehicle graphics.
Where we identify a significant surface concern before fitting, we will normally raise it with the customer where reasonably practical.
Action Graffix is not responsible for pre-existing vehicle defects that were not caused by our work.
11. Removal of Existing Vehicle Graphics
Where old lettering or vehicle graphics need to be removed, additional time and cost may be involved.
Removing graphics can sometimes reveal differences in paint colour because uncovered paint may have been exposed to weather and sunlight differently from the areas beneath the vinyl.
Removal may also reveal pre-existing paint defects, previous repairs or other surface problems.
Where Action Graffix is specifically contracted to remove existing graphics, that service will be carried out with reasonable care and skill.
12. Sign Installation & Site Access
Where Action Graffix is carrying out an installation, the customer should provide reasonable access to the premises at the agreed time.
The customer should tell us in advance about any known issue that may affect installation, including:
- Restricted access
- Unsafe surfaces
- Hidden cables or services
- Access restrictions
- Landlord requirements
- Listed building restrictions
- Planning or advertising consent requirements
Unless specifically agreed otherwise, the customer remains responsible for obtaining any permission, landlord approval, advertising consent or other authorisation required for signs installed at their premises.
If previously undisclosed conditions make installation materially different from what was quoted, we will discuss the position with the customer before carrying out significant additional work.
13. Measurements & Information Supplied by Customers
Where Action Graffix takes measurements as part of the service, we will use those measurements in preparing the job.
Where a customer supplies their own measurements, dimensions or specifications, the customer should ensure that they are accurate.
If work has to be reproduced because customer-supplied measurements or specifications were incorrect, reasonable additional costs may be chargeable.
14. Timescales
We will aim to complete work within the timescale discussed or shown on the quotation.
Unless specifically agreed as a fixed contractual deadline, completion dates are estimates and can be affected by matters such as:
- Artwork approval
- Material availability
- Supplier delays
- Weather affecting outdoor installation
- Vehicle or site availability
- Changes requested by the customer
- Unexpected production issues
If a material delay occurs, we will try to keep the customer reasonably informed.
This section does not remove any legal rights a customer may have where a particular completion date was specifically agreed or where a delay becomes unreasonable.
15. Payment
Payment terms will be stated on the quotation, invoice or otherwise agreed with the customer.
Unless alternative arrangements have been agreed, any outstanding balance should be paid when requested in accordance with those agreed terms.
Action Graffix may reasonably postpone production, release of goods or further work where an agreed payment is overdue.
Business customers may also be subject to any statutory rights relating to late commercial payments where applicable.
16. Collection & Storage
Where a customer is collecting completed goods, collection should take place within a reasonable time after we confirm that the order is ready.
If completed goods are left uncollected for an extended period despite reasonable attempts to contact the customer, Action Graffix may ask the customer to cover reasonable additional storage costs where these have actually been incurred.
17. Problems With an Order
If you believe there is a problem with work supplied by Action Graffix, please contact us as soon as reasonably possible so that we can inspect or understand the issue.
Depending on the circumstances and the rights available to the customer, an appropriate remedy may include:
- Correcting the work
- Repeating part of the service
- Repairing or replacing defective goods
- An appropriate price reduction
- Another remedy required by applicable law
Consumers are entitled to services carried out with reasonable care and skill and to any other rights provided by applicable consumer law.
18. Reasonable Wear, Weathering & Maintenance
Signage, printed materials and vehicle graphics are physical products and their lifespan can be affected by how and where they are used.
Factors can include:
- Sunlight and UV exposure
- Weather
- Cleaning chemicals
- Pressure washing
- Road conditions
- Mechanical abrasion
- How the product is stored or maintained
Normal wear, accidental damage, misuse or deterioration caused by circumstances outside our control is different from a defect that existed when the product or service was supplied.
19. Customer Artwork & Design Files
Where Action Graffix creates artwork as part of a job, the price for the finished product does not automatically include transfer of editable working files or ownership of Action Graffix's underlying design assets unless this has been specifically agreed.
This does not affect the customer's ownership of logos, photographs or other material that they supplied to us.
If you require editable artwork or design files for use elsewhere, please discuss this with us so that the scope of what is being supplied can be agreed.
20. Photographs of Completed Work
Action Graffix may photograph completed signage, vehicle graphics or printing as examples of our work.
Where photographs contain personal information or raise a particular privacy concern, we will handle that information in accordance with our Privacy & Cookie Policy.
If you do not want a particular completed project used in our portfolio or promotional material, please tell us.
21. Events Outside Our Reasonable Control
Sometimes work can be delayed or affected by circumstances that Action Graffix could not reasonably prevent.
Examples may include significant supplier disruption, severe weather, power failures, transport disruption, equipment breakdown or other events outside our reasonable control.
Where this happens, we will take reasonable steps to minimise disruption and keep the customer informed.
Nothing in this section removes any cancellation, refund or other statutory rights that apply to a consumer.
22. Liability & Statutory Rights
Nothing in these terms excludes or restricts liability where it would be unlawful to do so.
In particular, these terms do not remove legal rights relating to goods or services supplied to consumers.
Consumer rights are not replaced by these terms.
If there is any conflict between these terms and a right that cannot legally be excluded or restricted, the statutory right will apply.
23. Personal Information
Action Graffix may need to use contact details, addresses, artwork, vehicle information and other information in order to provide a quotation or complete a job.
Information about how personal data is handled is explained in our Privacy & Cookie Policy.
24. Complaints
If you are unhappy with any aspect of our work, please contact Action Graffix directly and explain the problem so that we have an opportunity to investigate.
You can contact us using:

Nothing in this complaints process prevents a consumer from using any other rights or remedies available under law.
25. Governing Law
These terms are governed by the laws of England and Wales.
Nothing in this clause is intended to restrict any legal rights relating to jurisdiction that a consumer may have.
26. Changes to These Terms
Action Graffix may update these terms from time to time to reflect changes to the business, services or applicable law.
Changes made after an order has been accepted will not retrospectively change the agreed terms of that order unless the customer agrees or the law requires otherwise.
